Connect QuickBooks

Link a workspace to your QuickBooks Online company. It takes about a minute, and you only do it once.

Databookly connects through Intuit's official sign-in. You approve the connection on Intuit's own page, so Databookly never sees your Intuit password. You can disconnect at any time.

Before you start

You need two things:

  1. In Databookly: you can connect QuickBooks if you're the workspace's Manager, or your organization's Owner or Admin. Other roles see QuickBooks not connected until a Manager connects it. See Roles & permissions.
  2. In QuickBooks Online: sign in to Intuit as an admin of the company you're connecting. If you're the client's accountant, use the accountant user the client invited. It has admin access.

Each workspace connects one QuickBooks company

One QuickBooks company can only be connected to one workspace at a time. For a firm, that means one workspace per client company.

Connect

Click Connect to QuickBooks

Open your workspace in Databookly. Click Connect to QuickBooks. You'll find it on any page that shows QuickBooks data, and as Connect QuickBooks at the bottom of the sidebar.

Intuit's sign-in opens in a new tab, so your Databookly page stays where it is. The button changes to Finish in the QuickBooks tab… while you're there.

Sign in to Intuit

Sign in with the Intuit account that's an admin of the company. If you're already signed in to QuickBooks in this browser, Intuit may skip straight to the next step.

Choose the company

If your Intuit account has more than one QuickBooks company, Intuit asks which one to connect. Bookkeeping firms will see every client company they have access to. Pick the one that matches this workspace.

Approve the connection

Intuit shows what Databookly is asking to access. Click Connect.

You're back in Databookly

The QuickBooks tab shows QuickBooks connected and closes itself. Your original Databookly tab refreshes with your company's data, and the sidebar shows Connected to QuickBooks.

If the tab doesn't close by itself (some browsers don't allow it), close it, or click Back to Databookly.

Pop-up blocked?

If your browser blocks the new tab, Databookly connects in the same tab instead. After you approve, you come back to your workspace.

What Databookly can access

Intuit grants Databookly the QuickBooks Online Accounting permission for the company you choose. That covers:

  • Reading your chart of accounts, suppliers, customers, products and transactions, to show them in Databookly.
  • Writing only when you ask it to: for example Send to QuickBooks on expenses, or editing or deleting a transaction from Databookly.

It doesn't include QuickBooks Payments, Payroll, or your Intuit login. Connection details are encrypted and stored only for this workspace. See Security.
